Understanding Payouts
This article walks through how payouts work in WeGive — when they happen, what's included, how to find them in your dashboard, and how to reconcile them against your bank deposits.
What is a payout?
A payout is the transfer of funds from WeGive (through your payment processor) into your organization's bank account. Each payout groups together all the transactions that settled within a given processing window and nets out fees and refunds, producing the deposit amount you see on your bank statement.
Payout schedule and timing
Payouts are initiated for all eligible payments that occurred within a rolling 24-hour window. Deposits are typically visible in your bank account by 6:30 AM EST on the following business day.
Payout frequency depends on your payment processor:
Payrix — Payout records are created in WeGive, and deposits run daily by default.
Finix — Payout records are created in WeGive, and deposits run daily by default.
Stripe — Payout records are created in WeGive, but the deposit schedule is configured in your Stripe dashboard.
PayPal / Venmo — Payouts are managed entirely in PayPal. They are not created or displayed in WeGive.
The first payout takes longer
New organizations have a 7-day hold on the initial payout. After that, payouts resume on the normal daily cadence for Payrix and Finix accounts.
When charges show up on a payout
Card payments process instantly, but typically appear on a payout about 3 business days after the charge settles.
Bank (ACH) payments take 5–7 business days to settle before they appear on a payout.
What's included in a payout
Each payout is a net figure. WeGive groups the underlying transactions into categories so you can see exactly how the deposit was built up:
Total Donations — tax-deductible donations
Total Service Revenue — non-tax-deductible revenue (event tickets, merchandise, etc.)
Refunds — separated between donation refunds and service-revenue refunds
Fees — processor and platform fees deducted from the gross
Final payout total — the net amount deposited to your bank account
Finding payouts in the dashboard
Payouts live under the Payouts section of the dashboard. The list view shows all payouts for your organization along with the reference number, date, amount, processor, and status.
Use the search bar at the top of the page to find a specific payout by its reference or payout ID. You can also search by amount.
Payout detail page
Clicking into an individual payout opens the detail view, which includes:
Header info — payout ID, reference, total amount, transaction count, paid-at date, and payment processor
Deposit information — deposit amount, trace number, and processor platform
Summary table — transactions grouped by type and designation, with columns for Type, Designation, Count, Gross, Fee, and Net
Balance transactions table — individual line items with Type, Gross, Fee, Net, and Description
Reconciling payouts
To help track which payouts you've already matched against your bank deposits, each payout carries an internal status you can update:
Working — the payout is still being reconciled
Reconciled — the payout has been matched to your bank records and is complete
Updating the status is an internal tracking tool only — it does not change the payout itself or affect when funds are deposited.
You can also filter payouts by date range and payment processor to narrow the list for end-of-month reconciliation.
Exporting payout data
From any payout detail page, you can export a CSV summary of the payout with its full transaction breakdown. For bulk exports across multiple payouts, use the Data > Exports section of the dashboard.
Frequently asked questions
Why is my payout smaller than the total donations I received?
Payouts are net of processor fees and any refunds issued during the payout window. Open the payout detail page and check the Summary table to see the gross, fee, and net breakdown by category.
Why don't I see a payout for a donation that came in yesterday?
Card payments typically take about 3 business days after settlement to appear on a payout. Bank (ACH) donations take 5–7 business days to settle. If it's a new organization, remember that the first payout is held for 7 days.
I use PayPal — why don't I see payouts in WeGive?
PayPal and Venmo payouts are managed inside PayPal, not WeGive. You'll need to view deposit activity directly from your PayPal dashboard.
Can I change my payout schedule?
Payrix and Finix accounts are set to daily payouts by default. Stripe-connected accounts can adjust their schedule inside the Stripe dashboard.
What timezone are payouts processed in?
Payouts are processed on Eastern Standard Time (EST) and are typically visible in your bank account by 6:30 AM EST.
